Terms and conditions

For the Purpose of this document Under The Lights Theatre Company will be referred to as UTL.

1. JOINING UTL

A registration form must be completed and signed by at least one parent. This form must be returned BEFORE the first official lesson along with the Registration Fee. Your registration form from this point is your contract with UTL.

A. Any medical condition must be disclosed to UTL upon registration and thereafter. You must keep us up to date should this change by emailing us at underthelightstheatrecompany@gmail.com

B. It is important that any learning difficulties are disclosed in order for us to provide support and nurture the student.

C. The method of communication by UTL is via email. It is therefore essential that all email addresses are kept up to date.

D. By signing these terms and conditions you are agreeing to receive invoices, newsletters, timetables and general emails from UTL.

E. By signing these terms and conditions you are agreeing for your data to be held on an electronic database, in a contacts file and a paper copy in a secure location.

2. UTL FEES

A. Full payment of fees for the forthcoming term is required within the first week of term.

B. A 10% discount is given to students who have one or more siblings attending.

C. If you do not receive an invoice by a week before the first class of each term, it is your responsibility to contact us to obtain a copy of your invoice

D. Your Invoice must be checked by you for any errors. We reserve the right to backdate invoices for corrections.

E. Your child will be prevented from taking their lessons if fees continue to remain unpaid; this decision will be made at the discretion of UTL.

F. Your booking is not confirmed until payment is received. Paid for spaces will be given priority.

G. Payments will be returned if a class has to be cancelled due to minimum numbers not being achieved.

H. We do not issue refunds for missed sessions due to your own circumstances.

 

 

3. LEAVING UTL

A. If you or your child wishes to leave UTL then we will require written notice via email.

B. You will not be entitled to any refund if you leave UTL during the agreed term.

 

4. CANCELLATION

A. We do not give refunds of any group classes that your child has missed due to illness, accidents or holidays.

B. If lessons are cancelled due to staff issues, bad weather or other issues out of UTLs control; we will endeavour to offer a make up session or the class cost will be deducted off the next termly fee.

 

5. USE OF PHOTOGRAPHS & VIDEOS

A. Videos and photos may be taken during class times and performances (and any other UTL led activities) and by signing these terms and conditions you are agreeing to the use of your child’s image for promotional and marketing use, this includes all platforms of social media and UTLs website.

B. You must declare if you do not want your child to be photographed for marketing use, and keep us up to date should this change by emailing underthelightstheatrecompany@gmail.com

 

6. GENERAL

A.UNFORM: Please where your UTL T-shirt to every class.

·        Strictly no jewellery – no earrings (earrings are very unsafe during physical activity).

·        Hair must be tied back from the face for all classes.

All UTL children’s classes:

·        Top: UTL T-shirt must be worn by all students.

·        Bottom: tracksuit bottoms or leggings must be worn. No jeans, trousers, skirts or dresses are to be worn to any class.

·        Shoes: comfy sensible shoes to be worn, eg trainers, jazz shoes or plimsoles.

When attending events, displays and external shows the compulsory t-shirt must be worn without fail.

B. UTL reserves the right to alter the timetable, change venue, and fees. Where applicable, we will try to give you reasonable notice.

C. UTL operates a NO REFUND policy unless stated above in section 4

D. UTL may from time to time introduce regulations for the better running of the school. All students enrolled at the school and attending classes shall be expected to adhere strictly to any and all such regulations and duly accept any revised terms and conditions.

E. Necessary discipline will be enforced and we reserve the right to terminate any student’s enrolment without notice or refund. We expect all children and parents to respect one another, our members of staff and volunteers. Bullying or abusive language or behaviour will not be tolerated and may lead to your child being removed from UTL. In this circumstance, no refund will be given. One warning will always be given unless it is an exceptional circumstance which will be decided upon by the discretion of the principal.

F. UTL reserve the right to remove from our programme, without refund, anyone who is found to be bullying, misbehaving or displaying disruptive behaviour.

G. There may be a change of teacher at any point during the term. Either to cover the regular teacher in times of illness, holiday or personal reasons or at times, to replace the previous teacher altogether.

H. It is essential for the efficient training and teaching of Performing Arts for a degree of physical contact to take place. On signing the registration form the parent or guardian accepts this provision for themselves or their child.

I. On no account can UTLs name be used in any form of publicity without written approval from UTL.

J. Our staff are not permitted to give students under the age of 18 years a lift in their car unless written permission has been given by their parent/guardian and has been arranged prior to the lift required. (Please see/request our Child Protection and Safeguarding Policy if you would like to do so).

K. Students under 11 years old are not allowed to leave any of our venues unless accompanied by an adult.

L. You must refrain from bringing your child to class if they have had any form of illness within 48 hours of the class.

M. No classes or teachers are to be disturbed unless it is an emergency. Parents are not to approach teachers or students during class. If messages or food/drink/medication needs to be passed on to a student, it must be done through a UTL staff member. All parents must wait in the waiting areas or outside of the hall until classes have been dismissed.

 

7. UTL Liabilities

A. UTL do not accept responsibility for loss, damage or injury arising from errors or omissions on the registration form whether completed by you or the person in charge of your child at the time of enrolment.

B. UTL do not accept liability for death or personal injury to any child attending class, with the exception of such injury being caused by negligence or default of any member of our staff or any other default on our part.

C. UTL do not accept any responsibility for loss or damage to personal property.

D. UTL do not accept responsibility for any loss or expense due to circumstances beyond our control including, transport, fire, weather and other such actions.

E. UTL are only responsible for students whilst they are participating in their class. Children cannot be supervised whilst they are outside the class space, this includes the reception areas, corridors, toilets and outdoors.

F. UTL holds Public Liability Insurance.

G. UTL hires premises from Third Parties; all UTL Staff, Parents, Guardians and students must abide by the codes of conduct as set out by those Third Parties.

 

8. SOCIAL MEDIA

A. Families found to be engaging in ‘hidden’ or ‘private’ groups formed for the specific purpose of discussing studio matters will be encouraged to join our closed Facebook group for public discussion and warned against discussing Studio matters in their private online groups.

B. No class or performance footage may be placed on any social media; photos of your own child only is accepted unless you have had prior consent from the principal or other parents.

 

9. COVID 19

In the case that Covid 19 may still be relevant, but schools are allowed to open, we have put measures in place that must be abided by all.

A.  All students must sanitise their hands before entering the class space (sanitiser will be provided at the door)

B.  All students must cover coughs or sneezes and sanitise their hands straight afterwards (sanitiser will be provided in the hall)

C.  If your child OR any family member OR anyone your child has been in contact with, has ANY symptoms, then it is compulsory to stay at home

D.  Only students and staff will be allowed in the class space. If there is an exceptional circumstance, in which someone else needs to enter, then a mask must be worn

E.  Your child’s details will be kept on record and used for track and trace. Please let us know if you do not wish for us to keep your child’s details on file for track and trace. In case of needing to use track and trace, the parent will be contacted.
